Many phrases taught in school or used in local offices sound unusual to clients in the US, UK or Europe. They are not wrong, but they can make your message sound less confident. Here are 15 common ones and simple alternatives.
Phrases that sound old or unusual
- "Do the needful" → say exactly what you need: "Please send the file by Friday."
- "Kindly revert" → "Please let me know."
- "Revert back" → "Reply" or "Get back to you."
- "Please find attached herewith" → "I have attached the report."
- "Prepone" → "Move it earlier."
- "Dear Sir/Madam" in chats → "Hi [name]," or just "Hi,".
- "Please give me a chance" → "I would be glad to help with this project."
- "I am having 5 years of experience" → "I have 5 years of experience."
Small grammar slips
- Missing plurals: "5 year" → "5 years", "many client" → "many clients".
- Missing articles: "I will send file" → "I will send the file".
- "Discuss about" → "Discuss" ("Let's discuss the plan").
- "Return back" → "Return".
- "Same will be done" → "I will do that."
Tone that sounds unsure
- Too many sorries: "Sorry sir, sorry for disturbing" → "Quick question about the project:".
- Very long sentences: split them. Two short sentences are clearer than one long one.
A quick before and after
BeforeDear sir, kindly find attached herewith the file, please do the needful and revert back asap.
AfterHi Daniel, I have attached the file. Could you check it and let me know if anything needs changing?
